00:00Hey, friends, welcome back. Now, in the last video, which was quite long, we did the first
00:10deep dive into the Power BI interface. Now, of course, as I said before, I do not expect
00:15that you remember everything. And that's also not necessary, because the best way to learn
00:21a tool is actually to work with it. And this is what we get started now. So you can see
00:27I opened a blank Power BI report in here. And now let's actually connect to some data.
00:33For our use case, there is a demo file, which is called the Easy Way Power BI. And you can
00:40download it from the source section to follow along if you want to do that. Of course, you
00:44could also directly start with your own data in case that's what you want to do. Now, to
00:49get started, what we need to do is we need to import the data. Now, we have various options,
00:54because in this case, it's an Excel file. And I already told you that you could either
00:59click on Excel workbook up here in a ribbon bar, you could go to import data from Excel
01:04here, you could click on get data from another source with the pop up window, or get data
01:11from here and also choose Excel workbook, or go to more, click here, wait for the pop
01:16up window, and then choose Excel from here. So you can see, you can do it in various ways.
01:22So since we already have the pop up window open, let's just use it from here. Okay, let's
01:25click on Excel, click on Connect. And then just choose here the file, in this case, Power
01:31BI, the Easy Way. That's the file, click on it, and then click on Open. Now just wait,
01:38and you get this navigation window, the navigator. Navigator now shows us here two items. The
01:45first one is this one with this blue bar on top, which is called gaming TBL. Second one
01:51is called gaming. And you can see if you click on these things, the second one as well,
01:58you get a preview, which of course you can also increase from the size if you want to
02:01do that. But you can see clearly what the data looks like. Now, if you're wondering
02:07what's the difference between those two items, well, the difference is that this one here
02:12is a table from Excel. So really a formatted table in Excel, which is the blue bar, that's
02:17the indication for that. This, on the other hand, is referring to the complete sheet in
02:22Excel. Now, as a best practice, or as a tip, which I can give you, is whenever you have
02:28a table in your sheet, and you want to make sure that you only import the data from the
02:33table and not additional data from the sheet, then go with the table option. Because this
02:39will then make sure that if someone else, or even you, will create additional information,
02:46additional data on the sheet, it gets not imported into Power BI. Also, when you refresh
02:51the data later on. And by the way, if someone else will change the data just in the meantime,
02:58and you want to see the latest data, just click this refresh icon here. So that's just
03:03while you import the data, of course, later on, you will also have the option to refresh
03:07the data if you simply click this refresh option here in the ribbon bar, for instance.
03:12But for now, as I said, as a little tip, and as best practice, I'm choosing the table
03:17here, even though, in this case, it doesn't make any difference, because the data is the
03:21same. There is only the data in the table and not additional data on the sheet. So after
03:28we just check the preview here, we have now the option to simply click on load. So let's
03:33click on load. And then we wait until Power BI imports the data. So there it is. It's
03:40a small data file, so that shouldn't take too long. And we can see that now the data
03:45here is on the right side. There's this gaming TBL. And if I click on it like that, I could
03:50see here the various fields which are included, like country, order amount, price, and so
03:55on. So these are the columns of the table we have. Also, we are currently in the report
04:01view. Remember that? But I could go now to the data view. So click on data here. And
04:07now you see that we can see the table in here. And that's what I meant in the first
04:12video when I just told you we had no data, so we weren't able to see anything, but just
04:17told you that here you have a kind of view like in Excel. Just a table view where you
04:21can, for instance, filter the data. You can go in here, and you can apply number filters,
04:26and so on. So all the filtering you are probably familiar with. So we'll not dive too deep
04:31into that, but that's what you get here. Also, one thing to notice here, if you filter
04:37the data in this data view here, this has no impact on the report view. So as an example,
04:44if I go in here and say I only want to see product PlayStation, like that, and say I
04:49only want to see PlayStation here, click OK, you would see this here in the view. But if
04:55I would create my report in here, and just to show you this, we dive deeper into this
04:59just in a moment, but if I would say here I want to see the product, click on product,
05:04you see that I still have all the products in here, even though I was filtering this
05:08one to PlayStation. So this is really just to, well, to analyze the data a little bit,
05:13but it does not change the data. It doesn't filter the data. If you want to do this, then
05:18we need to go in the Power Query editor, but that's something we're going to cover later
05:21on. So let me just remove this filter, even though it doesn't matter because it does not
05:28impact our data itself, but let's just remove it. Let's just say clear all filters, and
05:32we can see the data again. Also, if I go back into, or if I go to my model view before
05:40we turn back into the report view, we can see here, there's the table we have imported.
05:45So I can also drag this around, and in here I can create my relationships. For now, that's
05:50not too important because we only have one table here to get started, but later on we
05:55will see how we can connect table in this view. So also, if you hover over the table,
06:02you get a few additional information. For instance, what's the storage mode? It is import
06:06because we import the data into Power BI and also the data when the report was last refreshed.
06:12That's also included in here. And you can also, by the way, collapse it, the table,
06:17if you have too many columns in here and you want to see it here in the smaller view, you
06:21can also do that. Now, let's go back into the report view for now. So, and let me just
06:28remove this for now. Click on the three dots here and click on remove because now this
06:32is the view we should actually get started. So, you already have seen just a few minutes
06:39ago or seconds ago, but in order to get here visualization in the view, we have various
06:44options. One of those options is if we simply click on one of the columns here. So for instance,
06:51if I click on the sales column here, that's a numerical column, I can click on it, tick
06:55the box, and then you see, I get a bar chart here by default. And if I hover over it, I
07:01also get a little tool tip, which tells me here the sum of sales is in this case around
07:0534,000 in total. I also got this option here, this little icon here. This is the on object
07:13that's called in Power BI, which gives me here options to change the visual. So for
07:20instance, currently it's a bar chart as you can see here, but I could also say I'd like
07:23to have, instead of a bar chart, I'd like to see a KPI. So I can click on the card here
07:29and this will simply change the visual. So, it is quite easy to change the specific visualization
07:37by simply choosing another one from these options here. So, if I switch back, let me
07:43just show this to you, if I switch back here, for instance, to a clustered bar chart like
07:46that, let's see, I got my bar chart now horizontally. And then there's an option which Power BI
07:51recently implemented, which is suggest a type. If you turn this on, let me do it. You see
07:58that now we have a card again. And the reason for this is suggest a type means that Power
08:04BI creates the specific realization, which it thinks is best for the specific, in this
08:10case data you have put it here in the data options. And in this case, it's simply a card
08:15for the KPI. But I personally leave it off all the time because normally I know exactly
08:21what kind of chart I want to build. And that's why I don't want Power BI to switch this off
08:25on a different chart automatically. So, let me just go back maybe to, oh, let's say use
08:32a donut chart, write something else. We can see here our donut. And of course, by the
08:35way, we can make it bigger simply by dragging this bigger. And you can also move it around.
08:40In this case, I would recommend go over the three dots in here and just drag and drop
08:44it and place it somewhere else on the screen if you want to do that. So, that's how you
08:49can easily create the visual. And you can always add data here. You can see there's
08:53a legend option. There's the values area, there are details and tooltips. So, just in
08:58case I want to add something to the legend, I can either click on data like that. And
09:03then a little pop up here appears where I can add additional data. So, you can see here
09:09exactly the same columns from in this case, the one table we have, which are also displayed
09:13here in the data. So, if I could say, or would say, I like to see here this one. Well,
09:20but for each of let's say the regions, I can take region here, click on it. And now it's
09:26added here to the legend. And I can see here the chart on this case, in this case, the
09:30donut chart for all the regions we have. So, west, south, east, north, and can see that
09:34in here. And by the way, if you do not like the colors, you probably already know you
09:39mentioned it, but let's do this together. Go to the view option here and then choose
09:44a different color theme. This one, for instance, you got a different color theme here. Also,
09:49the tooltip is there. You can see this, which tells us here the region, which is west and
09:53the south seals in the total value, as well as the percentage figure, which is calculated
09:58automatically for us in this chart type. So, if you want to remove it, simply click on
10:06a cross symbol. And let me just do this quickly like that. And you have seen that we can click
10:12on this data option here, but we could also say we just choose here, let's say the region
10:18again, and just drag it and drop it on here. That would also work like that. And you can
10:23see that you've got exactly the same chart. So, it's up to you whether you want to drag
10:26and drop it, or if you simply click on this add data option and then add the specific
10:31fields you want to add here. And beside this, as I said, just choose a specific chart type
10:39you want. And then you can see this exactly changing here. So, this would be one option
10:45in here by simply starting with a column. We've seen I can click on something like sales
10:50and I got here another chart that is possible. Also, what we could do, let me just click
10:57on the three dots here and go to remove. We could also go back under home where we all
11:04have the charts in here or under insert where we also have the charts here in the visual
11:09section. And we can simply click on one of those chart types. So, for instance, I could
11:15go in here and say, I'd like to see here my bar chart. So, I'm using my cluster bar chart
11:19here and I can see I got the template here, which currently has no data. Let me just drag
11:24it up here, but we can easily fill it. We can simply click on, in this case, here the
11:29data option and add some data. Or if we say this was not the right template, we can quickly
11:35change it here as well. Or we could also change the template up here. So, if I would like
11:40to see instead of this one, I'd like to see, for instance, a table. I could either click
11:45here on the table option, click on table, and you get the table, in this case template,
11:50where we need to fill it with data. Or let me go back to the bar chart here. I could
11:56also go up here. As long as I have still the visual selected, that's important, right?
12:02It just needs to be selected. And if you deselect it, just click on it again, then it's selected.
12:07And then you can go in here and then also choose here, I'd like to see this as a table.
12:12And then you also change the template to a table. And then you just need to fill it with
12:16data by either dragging data directly on the table. So, for instance, the product, I could
12:21drag it here, or I could also click on this little option here, and then just add data
12:27from here. Add data, and then I can choose, for instance, here my country, click on a
12:31country here, and then I can see my table with the country. And if I want to add additional
12:37data, I can click on add data and say, I'd also like to see the sales, click on sales,
12:42and I would see here also some sales, and maybe add additional data, click here, and
12:47I'd also like to see the profit, like that. So, you hopefully see that Power BI is really
12:53flexible regarding how to create the chart. And also, if you want to change it anytime,
12:58you could easily do this by simply clicking on the visual and then change here the specific
13:02visual type. Beside this, you also would have the option to select the chart like this one,
13:09and then change it from up here. So, if I say I have here a donut chart, but I'd like
13:14to see this as a bar chart, I just select the chart, and instead of going here and change
13:19it from here, I could also just select it and change it from the insert or the whole
13:25by simply clicking on a different icon. So, for instance, let's just say I want to see
13:29this as a bar chart, click on the bar chart icon, and you see that now the chart type
13:32changes here. So, that's also possible. It's up to you what you want to do. And of course,
13:41go back, just click on the undo button here, and then you've got the prior visual again.
13:50So next to that, of course, there are various formatting options. And because they are so
13:56plentiful, I cannot show you all of them, but I'm going to show you just here how to
14:01work with them. And then I highly encourage you to try them out yourself. So, to do this,
14:07you could at first select the specific visual here. And for some visuals, the formatting
14:12options are already built in. Currently, the on object, so this option to change the chart
14:17type and add, well, as I said, the formatting options is not already rolled out for all
14:23the visuals, but for some of them. For instance, if I click here, you see that there's a little
14:28icon, this one here. So, this one is currently not supported, at least at this point in time,
14:34for, in this case, the table, but it will be in the near future. So, depending on when
14:39you watch the video, maybe the option is already there for the table as well. But for now,
14:44it's already there, for instance, for the donut chart. So, just to format it, you can
14:48click here, add or remove elements, like this one. And then you can, for instance, say,
14:53I want to get rid of the title. Untick the title option, the title is gone. Or untick
14:57the legends. Untick the legend, the legend is gone. Or untick the details. So, these
15:03things can be directly formatted from here. And as I said, with time, more and more options
15:10will be directly available in here. But if the specific option to format a chart is not
15:17already here, by clicking on this icon, or this icon is not visible, for instance, because
15:21it's currently not implemented yet for the table, just click on more option. And if you
15:26click on more options here, let me tick it, watch what happens on the sidebar here. Currently,
15:31we only have the data view here, right? But if you click on more options, then automatically,
15:37this new icon appears here on the side, the formatting option. And now you have all the
15:41formatting options in here for the visual. So, besides title, legend, detail labels,
15:47and so on, you can now also customize this here. For instance, if I untick the title,
15:52the title is gone here as well. And I also have a few additional options here, like clicking
15:57on a title. And here, for instance, I could specify what kind of text I want in this title.
16:02So, this one here. So, I could write any kind of text here, for instance, donut for sales.
16:10Okay? Just any random text, you can see it here. Now, this has changed. And I can also
16:15change here the font size. I can make it bold if I want to do that. You can see the changes.
16:20I can center it if I want to do that, and so on. So, all these customization options
16:24which are here, which some of them you're probably familiar from PowerPoint or from
16:29Excel, they're also available in here. I can also do conditional formatting here, so conditional
16:35title based on a measure, but that's something we're going to cover later on. That's not
16:39something we're going to cover right now. But hopefully, you have seen that it's easy
16:44to format things here simply by clicking something, changing the text color, make it green, and
16:49so on, and all this is reflected here. And as I said, this is currently in here, so in
16:55the site navigation bar here, the formatting option, but in the future, more and more of
16:59those options will be directly available in this little icon when you click here. Right?
17:04Simply again, depends on when you watch the video. And you'll also have seen that for
17:09some visuals, as I said, for this one, for instance, currently, there is no formatting
17:14option directly appended here, but you can also see that there are all the options, formatting
17:20option, we can format the table. And by the way, if you can't see this, let me just right
17:26click here, and let's just close it for now. You see it's not visible. In order to open
17:30it, simply go under the view option here, and then just check it here. So, click on
17:37format here, and then it's available in here. Right? So, then you can just select the visual,
17:43and then just change whatever you want to change in here. So, for instance, for the
17:47table here, I could go to size and style, and then I can change here, horizontal, vertical,
17:53height and width, and so on. Or just say, let's go back in here, let's go to the style
17:57presence here, and then change the table style. For instance, I could say I want to have none,
18:02and you see that now the table has changed regarding the style. I can also make the values
18:08bigger. I can go in here and increase the font size. Now, you can see here. Hopefully,
18:14that the values are bigger. It's easier to see. And if I play around with the color,
18:19and so on with the background, it's really up to me how I want to style my table. There
18:22are lots of options in here, and just in case, as a little tip, if you want to see all of
18:27them, because currently a lot of them are currently red, you need to click on it, and
18:31then see all the options you have to style it. Just click on the three dots up here,
18:36and then you can see all the formatting options you have. And you can see it's really quite
18:50a lot, right? So the style presence, the title options, of course, you need to tick the title
18:55that's on, and then you can write any text. For instance, this is my first Power BI table,
19:04right? Like that. And you can see that now this header appears. And as soon as you activate,
19:10turn it on, the title here, then, of course, you can customize it further. All these options
19:14are now available for you. The same is true for the subtitle, by the way. Currently, it's
19:17grayed out, as you can see, but you just need to turn it off, on in here, and now then you
19:22can style it the way you want. And as you can see, and hopefully also when you follow along,
19:28if you scroll down, you can see a lot, and I really mean a lot of options. And a lot of
19:33them are actually quite clear. I mean, based on the description, for instance, you want to add a
19:38border and where should be the border position. But as I said, I highly encourage you just try
19:43all the things out which might be interesting to you, right? Because every one of us has
19:48different requirements, of course, for his or her styling and visualization, but there are really a
19:54lot of options, and I'm certain that you find what you're looking for if you just try out the
19:58different things and just use it. So that's basically it for the styling here for the table.
20:07Next to the table, which I also like to show you, let me just make this a bit smaller in here,
20:12is any kind of, let's say, regional data or geographic data. Of course, it's often interesting
20:19to plot things on a map, right? And this, of course, is also possible in Power BI. So let
20:25me just go maybe back under the insert or the home and just choose maybe a specific type.
20:31And here, and there I can go. And then I could choose one of my maps here.
20:36In the future, the Azure map, this one will be the default one. Currently, there are also these
20:40other maps. But in the future, Power BI will automatically rely on the Azure map. I just
20:45want to mention this because it depends really on the burden you're going to use. But you can always
20:49change the same way as you changed or as we changed the visuals for the donut chart, for instance,
20:55so from bar to donut, we can also do that, of course, for all the cards we have,
20:59in this case, the maps. So let me just go back to my and just click on the little cylinder,
21:05go to data, and then just choose here the country. So let me just click here and
21:10some empty space, because I do not want to add the data in here. So by the way, if you select
21:16the visual, like this one here for the table, for instance, as long as the visual is still selected,
21:21then, of course, if you click on anything, like, for instance, product,
21:25you will see that this is added to the specific visual, in this case, to the table.
21:29If you want to start a complete new visual, click somewhere on the empty space,
21:33just to make sure that you have not anything selected. And then you can, of course,
21:37click on, for instance, one of those data options here. So one of the columns,
21:42in fact, you got country here, I will see that now country, in this case,
21:45a map is automatically created for me. Let me make this bigger, let me drag it,
21:50maybe place it somewhere, as you can see. And now I have here also the option to either change
21:55the visual here, to add additional fields in here, or to go to the formatting option,
22:01click on this one here, and then I can already here change a few things. For instance,
22:05I can add the category labels. If I do that, now you'd see all the country names.
22:09And I can also change this to a heat layer, and it would get this heat map option here,
22:15if there's something you want to do. And also, if the option is not available here,
22:20so I said, again, for you, there might be more options already. In this case, for me,
22:24there are only these three, but, or in this case, there's four, one of them is grayed out.
22:29But of course, I could click on more options, and then again, the site navigation opens,
22:33and here I have all the options to style my map. If I scroll down, and again, you can see that
22:38there are a lot of options. There are also map settings here, where I can change the style from
22:43road, for instance, to light, and you would see that the map changes, and there are also options
22:48like, for instance, grayscale, and other ones. It depends on which one you prefer, but these are
22:53the options we have here. So, that's it. Click, let me click on this again, and you see that
23:00that's what I meant when I said the Azure map, this one will be in the future, the default,
23:05as far as I know right now, but currently, still, this map option was chosen, but we can switch it
23:11to the Azure map. Let me click on Azure map here, and to display Azure map, I need to sign in.
23:16Okay, in this case, I need to first sign into Power BI, and then I could display the Azure map.
23:22So, I just would go to a sign-in. I can click here, sign in, and then I can enter my email address.
23:28In this case, again, the registration is for free, but as I said, you need to have a business account
23:33or school or institutional account, something like that, in order to sign in. Currently, I'm not
23:38signed in. Maybe that's also a reason why the Azure map was not chosen by default. Okay, so let's go
23:43back to the original map and just visualize it like that for now. Beside the dots, I might be
23:50interested in what are the sales figures in this case, because we have sales data for the different
23:55kinds of countries, so I could easily do this by selecting the map, and then let me just go to the
24:00options here, and then I could add, for instance, for the bubble size, click on add data here for
24:05the bubble size. I can click on the sales here, and then I would see the bubbles now represent
24:11the sales amount which has been created in each of the countries. I can see that U.S. and India,
24:15for instance, are markets which we most sell our products. So, that's also an option you can
24:22play around with, adding simply the fields here, also maybe something in legend, on the tooltips,
24:27and so on. So, that's it actually for part one on creating visualizations in Power BI and connecting
24:35with data. So, I will cut the video here because it's quite long already, but in the next video,
24:40we will continue building our first report. So, hopefully, you're excited, as excited as I am,

24:54Hey friends, welcome back. Now, in the last video, we got started with our first Power BI report,
24:59and hopefully, you have seen how easy it is to import the data in Power BI, and then get started
25:04with your first visualizations. Now, let's continue building from there, but before we do this,
25:10we should actually save our report because, let's face it, even Power BI might crash from time to
25:16time for some reasons, whatever those reasons are, and then we might want to make sure that we have
25:21saved our file so we can restart Power BI and continue working from our safe. To do this,
25:27we can simply click on a little desk disk up here, just click on save, or press control s
25:33as a shortcut that would also work. So, let me just click on save on the disk here. So, click on it,
25:38and then you would see that now the window appears here, and I can easily now specify
25:43the name of the Power BI file. For instance, here, the easy way with Power BI, like that,
25:51and then I can click on, just save it, click on save, and then the data is saved now in this folder.
25:58So far so good. Now, beside this, we already learned that visuals have, at least at this
26:06point in time, some of them, this option to format the visual by simply clicking on this
26:10formatting icon here, and then we can add specific formatting options in here, and if the options are
26:16not already built in here, we can click on more options, and then we have the formatting window
26:20here on the side, where you can then customize a lot of things.
26:25Beside this, for visuals, we do not have this option. Remember, here currently it's not built
26:30in, maybe in the future it is for you already, but if not, simply click on this, and if you do
26:35not see this option, let me just, and it's one more time, let me just close it, if this is not available,
26:40go just to the view option here, and then check the formatting bar here, this formatting option,
26:44and then it appears here, and then you can customize the visual.
26:49But beside these options, we also have the option to specify specific formatting
26:55inside the visual itself. The way this works, let me just drag this a little down,
27:00currently you see that this visual has a black, in this case, a black border around it.
27:05As soon as we double click on it, let me just double click here, you would see that now the
27:09border changes to blue. This is an indication that we can modify certain things directly in here.
27:17So, for instance, if I hover over this, you can see, I can change it, I can right click here,
27:22for instance, and now I have the label selected, and I can change the label content, as well as
27:27the label position, outside, inside, and so on. But let's stick maybe for the label contents,
27:32for this example, and I could say, what kind of data do I want to show? For instance, I could say,
27:38I only want to see the category. Click on category, and now you see that we have changed here the
27:43description by only adding the category here. Or let's just right click again, and say, instead of
27:49this, I would like to see actually the category, in this case, and the data value, and percentage
27:54of total, so actually everything. So, click on all data labels, all the details, and you can see that
27:59now we have everything in detail here. I could also click on here directly, and I can press
28:05delete key, and then the whole visual is deleted. That's not what I want, so let's actually go back,
28:10and let's double click on this again, like that, and I can right click here, and I can also click here,
28:15the option to specify here certain things. For instance, I can make this bold, you can see that here,
28:21and now the options are bold, and so on. And I can also go in here, if I want to change here,
28:27in this case, the scale, currently you can see it's, in this case, 5k, because it's 5,000.
28:34If I click on none here, for instance, I would see north is 4,750. So, also, all these options
28:41here, also, maybe how many decimal numbers you want to show, the color, and so on, everything
28:45can be customized here as well. Let me go back to auto, and then it would show auto, simply
28:51the abbreviation with a k. So, you can see that there's also an option to change something directly
28:57in here. So, if I click on here, for instance, the legend, and you should also see that this changes
29:03what the formatting currently is highlighting here. So, if I go back to my, in this case,
29:08the description here, the labels, you would see that now we are here in the detail labels position,
29:12where we can customize it either in here, so in the pane, or directly in here in the visual.
29:20And if I click on region one more time, you see that now we are here in the legend.
29:23We can specify either by right clicking here, do I want to delete the legend, click delete,
29:29then the legend is gone, right? It's also turned off here. I can also turn this on again,
29:35and legend is there, and I can also play around. If I right click here, in this case,
29:39I'd like to format it. If I click on format, then you can see the format window here appears.
29:45And I would highly, or I'm certainly sure, actually, I'm very sure that the option,

30:11and also directly in the visual itself, if you double click on it to have the blue border,
30:15this is currently rolled out. So I'm very early here, but I thought it's the best
30:21to create videos now to give you the newest kind of experience and see what's coming.
30:26And that's why I'm not, all the options are already there, but for you, they maybe are
30:31already when you watch the videos, but hopefully you appreciate that. We're going to dive here
30:35into the latest feature and the latest probably update at this point in time.
30:41So now this is up to you, what you prefer. So do you want to do it directly in the visual,
30:47or do you prefer to get the formatting option on the sidebar or, or this option here by simply
30:52clicking there and change the things in here. So it's up to you at the end, probably what you
30:57prefer, but for now we have these three options. And if you want to deselect it, simply click on
31:03somewhere on the screen. And now if you select it again, you see that this blue border, so the,
31:07the option to format something directly here, if I write it here, this would not work,
31:11right? That only works if you double click on a visual, then you have the affording options in
31:15here. Okay. So that's it. Another way to form with the visuals. So you can see that Power BI
31:21becomes really quite flexible because this was not possible in the past, but now it is. And in
31:27the future, there will be a lot more for me options directly in the visual itself. If you double click
31:31on it. So having said that, let's just drag that down and let's continue creating our reports in
31:37here. So let me just look at this down here and let's actually insert a header because each report,
31:43each Google port normally has a header. So we can simply go to insert, click on insert here,
31:48and then we could say, we'd like to see a text box. So let me first deselect everything and
31:53then click on text box here. And now actually type in some text. For instance, in this case,
31:59my first Power BI reports in this case, let's say Power BI, the easy way, right? The easy way
32:09to get started, start it, start it correctly. Okay. So I'll select everything, control a,
32:15and I make it bold. And then I also center it maybe. And of course, I like to make it bigger.
32:21So let's say 18. I think that that should be fine, right? So let's just do this. So I click on the
32:27three dots and I drag this maybe here on top and I make it a little bit smaller because I don't
32:31need too much space like that. And I can click on this. And by the way, you're probably familiar
32:36with this from PowerPoint as well. But if I go to the formatting option here, I have here the
32:41option to align the options, right? To align left, center, and so on. In this case, I would
32:46like to align it middle horizontally or distribute horizontally and click on this option. Now you
32:51see it's exactly in the center of my screen in here, right? So all these options by clicking
32:56on a visual first, then the formatting ping here appears up there, format. And I can click on this
33:03and then I can specify here, do you want to bring it forward, backward, also options for Power BI,
33:08PowerPoint, sorry. If you want to have visuals overlap, for instance, like that,
33:12and then you can specify which one should be brought to front or to back. But I won't dive
33:18too deep into this because this is exactly the same as a PowerPoint, right? And if you worked
33:23with PowerPoint before, then you're probably familiar with that. But especially the aligning
33:28option here, that's quite helpful. If you want to style your report and align things properly
33:33and so on, then you can easily do this by simply selecting the visual. Or if you control click,
33:38select two visuals, and then you go to format and you can do exactly the same. The aligning,
33:43for instance, distribute them and so on, right? That also is possible. So if I align center,
33:48just to show you the view, I click on this one here, you would see that now they are aligned
33:51in the center. So let me just go back or press control undo because I only want to have my
33:57header here in the center. So this can be done here. Just drag that a little bit. Select it,
34:04make it a little bit smaller in here. So what else can we do? Now we have our header in here,
34:10and I think this one I like. So let me just make this a little bit smaller, maybe like that,
34:16and then maybe drag this up here. So that and you can also see, hopefully, that there are these red
34:22lines. So if you can see this, this is the red line, this red dotted line, that's something you
34:26probably also familiar from PowerPoint, which allows us to make sure that the visuals here
34:32are aligned properly, for instance, both at the same Y position, right? Of course, you can also
34:37select both of them, and then you can go to the formatting option, and then under align, of course,
34:42you could also say align top to make sure that aligned at the same Y position. But also, I think,
34:47oftentimes, it's already enough to simply drag it and then make sure that you can see the red
34:51dotted line. And it also works for me, at least. So here we got one resolution, let's make it a
34:57little bit smaller, like this one here, and also drag it higher, like that, and place it somewhere
35:01on our screen. Next to the donut chart, where I can see here my regions, and you're also sales
35:08figures as well as percentage here, I maybe also like to see the profit for products.
35:13So let me go here, let's just check that in our cylinder here in the data view,
35:18and make sure that we deselect everything first. So click somewhere on the blank screen,
35:23and then let's just say I'd like to see my products in here, click on product,
35:26and for the products, I'd like to see actually the profit numbers. But instead of having a table,
35:31I'd like to see this maybe as visual, and also let's just choose one of those bar charts. So
35:37select this one here, class and column chart, and I can see that now here are the different
35:42products I have, and these products here have different kinds of, in this case, profit.
35:46So here, let me just maybe double click on this again, just to practice this a little bit. So for
35:52instance, here, the sum of profits, I don't like this, so I click on site, and I just go back,
35:58that's not what I want. I double click here, and I just want to change the name. For instance,
36:03this is not the sum of profit, this is just my profit. Okay, I don't like to have the sum
36:07name in here. Click on profits, and then click somewhere on site, and now I have renamed my axis.
36:11And one more time, I'd like to mention this, you could also do this inside the formatting
36:15pane here, but that's also possible. Now, if you just double click on it, make sure you can see
36:20the black, sorry, the blue border around, and they can change that in here as well.
36:25Also, let me just right click on the bars here, and then say I'd like to add the data labels,
36:29right, and click this option, and now we'd also see the data labels in here.
36:33I can click on the data labels as well, and I can right click, and I can form them if I want,
36:37right click, and I can form them if I want, or choose from here. So, to make them bold,
36:42now they're bold, and so on. That's also possible directly from here.
36:46Or, if I go inside my formatting pane, I could also do it here, right. There are the values,
36:50and I can simply take the bold in here, and this would also change it in here.
36:56So, and also as a best practice, because there are so many formatting options in here,
37:01if you search for a specific format, right, you could also go to the search option here,
37:06the search pane. This often helps, at least me, to simply find the specific thing I want to form
37:12it easier. For instance, if I search here, you can see there are the labels. For instance,
37:17if I would search for the labels because I can't find them, I can simply search for, in this case,
37:21the data labels, and you can see that now I'm here. You can see the data labels. If I go inside,
37:25and here I can specify, for instance, for the values, and then I can search here,
37:29for instance, italic, and you would see that now they're italic, right. It's, for me, a quick way
37:33to find what I'm looking for by simply search for a specific item which I want to change.
37:40So, let me just remove this for now, and then actually this one here, and we can see all the
37:45options here again. So, this one could be a second visualization, and let me just click
37:50somewhere outside, so I have a normal, and also make this a little bit smaller, and I have my
37:54next visualization type. So, like this, and this one here, and I want to make sure that these are
38:00maybe aligned properly. It's the same size, okay, like that. This one is now the same as this one,
38:05and then I can continue, for instance. Here, for instance, I have my table in here. Well, okay,
38:11I can make it a little bit bigger regarding the columns. I just need to hover, in this case,
38:16here over the header, and then I can just drag it, and you can see that here I can change the size
38:21of the specific columns if I want to do that, and also like that. Let me just also make the
38:27countries bigger. What I could also do in here, here's my table, currently it's aligned correctly,
38:32this is true, but for the table itself, I could also say, if I just select here the options,
38:39for the sum of sales, for instance, if you say you do not want to have the aggregation, like sum of
38:44sales in here, what you could do instead is simply double click here, and then you can rename the
38:49field. So, just instead of writing sum of sales here, I could write, for instance, these are my
38:55total sales, like that. Press enter, and now you can see that the header is now changed to total sales.
39:01It's still the sales field from our data, if I go to my cylinder one more time, it's still sales
39:06in here, right, which we're going to use, but we just renamed it here for this specific visualization,
39:13not for all the others, only for this one. If you want to name it differently, so instead of sales
39:19here, we would like to have total sales, this is something we need to change in the Power Query
39:23Editor when we import the data, and we will dive deeper in the Power Query Editor later on,
39:28but for now, if you want to just change it quickly, then the quick and dirty way to do
39:33it is simply double click here and change the name, right. And also, if I go to the formatting option
39:39here, then here for the column headers, this is done, can also make, for instance, I can center
39:45them, right, and now they are centered, or I can also right align them, right aligned, and so on,
39:50depending on how I want to style it, also make it bold, and then they're also bold.
39:56And because I increased the size here for the labels, I might also want to increase the size
39:59here on the font size here for the headers, I can also do that. So, this could be also now a
40:05visualization which I want to use. So, besides this, I could, of course, also create additional
40:12visualizations, or I could use this card, this map. In this case, I want to get rid of the map,
40:16so I'll simply delete it for now, and I would like to have maybe a different visualization
40:21type in here. So, let me go back here again and choose here, what else do we have, we have a table
40:27and so on. What could be interesting for us is also the slicer, right, because maybe we want to
40:33give the report, the end report consumer, the option to slice and dice the data. So, maybe he
40:39or she is interested in, for instance, currently we can see here the profit for all the products,
40:43but maybe you would like to see the profit only for a specific region, right, that could be the
40:48case. And we can do this by two ways, the second one I'm going to show you in a minute, but for now,
40:54let's actually explore slicers. And slicers are also available in Excel, so maybe you're already
40:59familiar with them, but if not, let's create one. So, let's go back inside, in this case,
41:05under home, we can do directly from here, make sure that you do not have selected anything,
41:09click somewhere on the blank screen, and then go in here, and there is an option to add a slicer.
41:14So, click on slicer in here, and now we need to add a field to the slicer. So, what kind of data
41:20do we want to use in order to slice our data? And I could say, I want to use the region.
41:26So, I click on region, click on it, select it, and now we have a slicer in here for the region,
41:32like East, North, South, and West. So, if I would select South, let me just click it,
41:37and you'll see that now all the data is now changed here, and I can only see now,
41:42here in this case, the profit for the region South, where for PlayStation, obviously,
41:46it's currently negative. If I click on North, I would see the data for North, East for East,
41:52and so on. So, by the way, if either you deselect this by clicking again on it,
41:58or you deselect it by clicking on this little icon here, clear selections,
42:01you also would see the data again. Beside this, there's also an option to, of course,
42:09customize the slicer a little bit. Maybe you do not like it the way it looks currently.
42:13You can click on this one here. You can change the slicer header. Currently, it's here region.
42:18You can untick it, and it would not be visible, or you go to more options. Currently, this is
42:23the only option I can change here. Again, in the future, there might be more options, but for now,
42:27I need to click on more options, and I would see here my formatting pane appearing.
42:31By the way, it's closed, and I click on more options, and it automatically appears in here.
42:37So, for the slicer settings, let's go there. There's an option, instead of using the vertical
42:42list, to switch this to, in this case, here, a dropdown or tile. So, let me just click on tile,
42:50and now you have a tile, right? It looks a little different. Let me just make it smaller,
42:54like that, and now I have here all my regions, like this, a slicer. You can still click on
42:59something, like north, and you see that the filter gets applied, the data gets changed,
43:04but this would be another way to display the slicer. In this case, I personally like this,
43:09the way it looks like that, and I can place it maybe somewhere in my report, maybe up here,
43:14and then I can use it for slicing the data. So, click on north, I can see north, and so on,
43:19and if I would like to select more than just one item, just in case you're wondering,
43:23just click on one item, and then hold control key, and click on another item, and you see that
43:27now both of them are selected. That's also possible, of course, to select several items,
43:31like that. Let's just remove this for now, but this would be one of the options we have,
43:38and then you can play around. What else do you want to add to this slicer? Just, again,
43:43click on it, and then take a look at all the options we have. For instance, here, for the
43:47columns here, we can make it a multi-select. Currently, it's multi-select with the holding
43:53the control key. If you untick this option, by the way, then it would be, if I click on east,
43:58I'd see east. If I click on north, you see I do not need to hold control key in order to select
44:03several items. If this is something you or your end user of the report prefers, instead of clicking
44:09to a control click, only click with one with the left mouse button, then this can be customized,
44:14right, as you've seen. So, all these things are available. Really, I encourage you, try this out,
44:22play around with it, and then just use the setting which is best for your specific use case.
44:29So, you can also play around with the padding here, with the color. The default color is here
44:34blue. You can make this green, and so on, and it's up to you, right. So, select the visual,
44:40and then specify here the certain kinds of, in this case, well, formatting options for this visual.
44:45Let me just maybe untick the region, the title. So, let me just click on it again,
44:50like that, and tick the title here, tile. I think I like this. Again, you can use drop down if you
44:56want or not, and also for the options in here. You can also make it single select, that only
45:01one item is selected at the same time, and you can also add show select all, right, then you
45:06would have this all option. For instance, if someone clicks on north, now you can see,
45:11if you click on select all, then everything is selected again. So, again, it's really up to you
45:15how you want to style this, but this is just, I just want to give you here, well, a preview of
45:21what you could do, for instance, in your own reports later on. So, maybe one last visual
45:26here at the bottom. Let's just choose something and maybe just use KPI cards, right. Why not?
45:32So, to do that, you could easily, which we already have seen, use a single KPI card,
45:38so which are available in here, this one, but there are also multi row cards. So, let me just
45:44maybe select this one for now, just to show you a different visual, click on it, and now we can
45:48add here certain kinds of fields. So, click on add data, and then say, we'd like to see the sales,
45:55and at the same time, we would like to see the profit. So, click on add data and also add the
45:59profit, like that, for instance, right. So, we can see here the sum of the profits, as well as the
46:04sum of the sales in here, and also maybe add another add data here, click on it, and now we
46:12add the price. So, now we have three KPIs, which are here in our multi KPI card, and I think it
46:20makes sense to maybe place this maybe top, rather here, right there, just an example, and here we
46:26have our table. And for the table, you can also sort this, that's not what I want for now, but not
46:32my focus. Let me just drag this higher, and click on it again, click on country, let's go here,
46:40and there's sort by, there's an option, let's sort by country, ah, that's fine for now. Sort it
46:44alphabetically. And maybe, maybe we would like to make the table a little bigger, so we add additional
46:49data. So, let me go to the data option here, and then just choose for the table, uh, next to what
46:55we already have. In here, country and all sales, let's say next to the country, we also like to add
47:01additional data. Let me click on this data option here, add data, and then say, we also like to see
47:07here, let's see the product, click on product here, so we can see the table's a little bigger,
47:11let me drag the product up. So, if you want to change the order of the columns, simply select
47:16it, drag it up, under country, so I can show you this as well, and now we have here, in this case,
47:21the country first, then the product, then the sales, and then the profit. So, like that. This is
47:27our sales table, which we have here, which we want to visualize here. For our KPIs, we can see them
47:35in here, this is the sum of sales, the sum of profit, and the sum of price, and maybe a few of
47:40you already notice that the sum of the price, that actually does not make any sense, because normally
47:45you do not sum up the price, right? You sum up the profit, you sum up the sales, but for the price,
47:50they might be more interested, for instance, the average price a customer has paid us.
47:55So, for that, we can easily change this by clicking on the option here, and say, for the
48:01aggregation type, click on this little arrow here, data options, and say, instead of the sum of the
48:07price, the aggregation type here should be the average. And by the way, we can also change these
48:13options here for the other ones by clicking on this little arrow here, but for now, the sum of
48:17sales and sum of profit is fine, but the sum of price is not fine. That's something I'd like to
48:21change. So, that's why I go in here and change it to average, and now we can see that's the average
48:27price which the customer has paid us, which makes more sense, in my view, here for this specific API.
48:34Next, we have the formatting option, of course. Again, the category labels, I like to have them.
48:39More is not available, at least for me, so I need to click on more options, and I can see here
48:43I'm affording, and I can, here, customize this further. So, callout values here, let's just make
48:48them bold. You can see that now they are bold. I can also increase the size a little bit if I want
48:52to do that, and so on, right? So, all the formatting options are available for us.
48:57Okay, so that's it for creating our reports. For now, I say that's fine for me. Of course,
49:03I highly encourage you to keep going and create visualizations and specify,
49:09format it the way you want it, and try out the different things you have.
49:13But before you do this, and before we end this video, there's one additional thing I'd like to
49:18show you. So far, we have seen that we can use the slicer, right, to slice and dice our data.
49:25So, if I click on east, I would see the data for east, and so on, right? That works for us.
49:30However, next to the slicers, Power BI is fully interactive. That means that if I select another
49:38visual, for instance, here, for the donut for sales here, if I click on the region west here,
49:44this little part of the donut chart, if I click on it, you'll see that now the data also gets
49:49filtered for the other visuals. So, that's what I mean when I say Power BI is fully interactive.
49:55I could click on this one as well, and then the data changes here for the southern region.
50:01Or if I click on it again to uncheck this filter option, I can click here on PlayStation. So,
50:06click on PlayStation, and you see that now I only see the data for PlayStation, right?
50:11And this is true for all the visualizations in here, right? If I click on PC, I would see here
50:16the filter options for PC. If I uncheck this option, now I can see everything. And there's
50:24much more to tell about this interaction, and also that we can specify how the visuals should
50:29interact with each other, but that's something we're going to cover later on because, again,
50:33this video is quite long, but here now we have created our first report in Power BI,
50:39and that's why I'd like to say congratulations. So, for following along, for creating your first

51:17selection, we can directly click on these icons here to either choose the data we want here,
51:22as well as, as you can see here, what kind of visual we want. Currently, it's this donut chart,
51:27but I can switch it here if I want, and we can also go up here and do our formatting.
51:32Now, if you worked with Power BI in 2022, for instance, so in earlier versions, then you were
51:39actually more familiar with these options here, actually pinned up there on the upper right.
51:45Now, if you want to switch this back, you can easily do this using the paint switcher, which
51:50means that you can click on this little icon here, and you can say move to paint switcher,
51:54and if you do that, then you see that now you have the box here with all the visuals up there
52:00on the right side again, and then you can use it here. So, it depends on what you prefer,
52:05and you can easily switch it back by simply clicking this icon again here, and then say,
52:09want to move to visual, and then it's back on the visual itself. So, it's really up to you
52:13what kind of option you want to use. This is now available for you. Besides doing it here,
52:19you could also go under the view tab, and there's also this option paint switcher,
52:23and you can go there, and then you can say, I want to move here to paint switcher,
52:28and then you can switch it here, or you can, of course, go back there again,
52:31and you can untick this option, and then it's back on the visual.
52:35If you're just wondering what this actually means, this always show paint switcher,
52:39this just means if you take a look at the little bar here beside the data view,
52:43if I untick this here, you see that this is gone. That is the only thing which this does,
52:48and the second thing which is new is that besides clicking on these icons here to add them here to
52:55the paint, like for instance, if I click on format, you will see here there's also the format
52:59option here. If I click on bookmarks, I would find the bookmarks and so on. So, this is an option,
53:03and new in the July 2023 release, you can also click on the plus symbol here. So,
53:08customize paint switcher, if you click here, then you can simply check here the boxes,
53:12what you want to see and what not. So, if I go to selection, you will see that this also appears in
53:17here. So, it's up to you how you want to do it, but this plus symbol now is also available for
53:21you. I just wanted to mention this because in the videos when I recorded that, that was not
53:25available. And just to have you have the full experience here, know where you can find everything,

53:41Hey, friends, welcome back. Now, I really hope you had a little bit more time to dive deeper into
53:47building your first report and try out different visualization types,
53:50formatting options, and so on. Now, if you're done with this, just make sure that you click
53:54the save disk here again. And also, if you close the report without saving, then Power BI would
53:59just create a pop-up window and ask you whether we want to save the data. And for now, I'd like
54:04to do this. Let me just click on the save option here and then close it because now we would like
54:09to dive deeper into a more advanced data set. Because remember, so far, what we did was just
54:16importing one simple Excel file, which was this small table, and create our report. But now,
54:22of course, we would like to know and learn how we can use a more advanced data set where we need to
54:28combine tables together, create relationships, and so on. And in this video here, I just would
54:33like to show you what kind of data we deal with the next couple of videos. So, let me just open
54:38this one. And that is the Excel file called PBI, so Power BI Training 1. And you should also find
54:45it in the resource section to follow along with me. So, what you could see here is in this Excel
54:51file, we have three tabs. So, we have a sales tab for 2023, and I mean three sales tabs. We have a
54:58sales tab for 2022 sales and for 2021 sales. What I'd like to highlight here is the structure of
55:07the table is exactly the same, right? So, we have the same column names, which is important for our
55:12setup. But we have the sales data in three different tables, right, for each of the years
55:18separately. And of course, what we want to accomplish in Power BI is getting this into one
55:24big table, which we can then analyze, slice and dice, and figure out, for instance, different
55:29kinds of sales numbers across various products, for instance. But to do this, we need to combine
55:35these three tables. Also, we can see that for the product, for instance, we have a product ID
55:42in this table. And for the location, for instance, we have a location ID. Or for the sales people,
55:49we have a sales paper ID, we have a customer ID, we have an order ID, right? So, all these are ID
55:54numbers, but they don't give us much information. Because so far, okay, I can see this is product
56:00PID 2029. But what kind of product is it, right? From this table, we can't see it. And also for
56:07the other sales tables. Now, this is a common structure, which you will find when we're talking
56:12about fact and dimension tables in, well, in data models normally, right, and also in databases.
56:19So, we have a kind of key here. That is actually the right word for it. We have a key.
56:24And we can look up this key in different tables. So, for instance, to figure out what about this
56:30transaction here, right? We have a quantity of two, a price of 1522. So, a total sales of two
56:36times this value here. This was generated by this product in this location by this sales person
56:44to this customer. And we can look this up because we have a product table here as well, products.
56:50And here we have the product name, right? These are the product names. And we have additional
56:55information. Like for instance, what is the cost of the product? What was the original sale price?
56:59What is the discount? What's the current price? What are the taxes? All the information for the
57:04product are listed here. And we can get this information for the product as well as the name
57:10and add it to the sales table by creating our relationships. And when I say adding those
57:16values, I do not mean adding additional columns here directly, but combining the tables with
57:22relationships so that the Power BI model knows, for instance, for the product ID to look the data
57:28up in the products table in this one. And the same is true for locations. Here we have the locations
57:34which we're going to deal with. They also have the location ID. This is the common field we have
57:39to our sales table where we all have a location ID. And that's how we can combine those tables
57:44with relationships to make sure that we can look up exactly the right information for each of the
57:49transactions. And hopefully it's clear how that works because for customers, for instance, and
57:55also for salespeople, that's exactly the same. We have the ID and this is our lookup table, more or
58:01less, where we can then search. Okay. Based on the salesperson ID, which we find in sales transactions,
58:06we know now, for instance, that Kevin was the guy who sold the product to our customers.
58:13And that's it actually for exploring this data set. So hopefully it is clear what the data looks
58:18like. And of course, feel free to open it and have a look at it yourself. But in the next couple of
58:23videos, we're going to dive deeper into importing the data in Power BI, transform it, slice and dice it
58:29the way we need it in the query editor. So we basically prepare the data and then we can use
58:34it in order to create our report. So hopefully you're excited as I am and I can't wait to see you
