00:00Hey friends, welcome back to the channel.
00:01So over the last decade, I have experimented
00:04with dozens and dozens of strategies for managing my time.
00:07And I've been doing that because time management
00:08is I think one of the most important skills
00:10that we can develop and build in the world today.
00:12And it's because fundamentally,
00:13time is our single most valuable non-renewable resource.
00:16We can always make more money,
00:17but we can never make more time.
00:18And so really the skill of time management
00:20is in being able to make the best use of that time,
00:23not necessarily for only doing productive things,
00:25but instead to use that time intentionally and effectively.
00:28So in this video,
00:29I'm gonna talk you through my Trident method,
00:30which is a sort of three pronged method for time management.
00:33And I'll show you exactly how I use these different methods
00:36in my life to manage my own time.
00:37And in the video description,
00:38I've also linked completely for free the templates
00:40that you can use to incorporate this into your life
00:42if you would like as well.
00:44So this aspect of the strategy was a total game changer
00:46when I actually tried bullet journaling last year.
00:49Now bullet journaling is a somewhat fancy
00:50pen and paper method of productivity,
00:52but it's sort of been co-opted over the years
00:54by artists and people making ridiculously fancy
00:58and beautiful looking bullet journal spreads.
01:00And I was super enamored by this and thought,
01:01you know what, I'm gonna try the bullet journal method.
01:03And so for the final four months of 2022,
01:05I painstakingly bullet journaled basically every day,
01:08and I sunk so many hours into my bullet journal method.
01:10And it was really good,
01:11but there was one aspect of the bullet journal method
01:13that completely changed the game for my time management.
01:16And that was this view, the year at a glance.
01:18Now the point of this view is that you split up
01:20the entire year into these different columns.
01:22And so you end up having 12 columns
01:24that show the different months,
01:25and then one to 31 down the side
01:27that show you the different dates.
01:28And so what you end up with is these 366 blocks.
01:31Now, when I did this,
01:32when I did the bullet journal technique,
01:33this immediately gave me incredible insight and clarity
01:35into what the rest of my year was gonna look like,
01:38because this is not really a view
01:39that we see particularly often.
01:41If for example, you use Google Calendar or something,
01:43you tend to be stuck in the weekly view
01:44or in the monthly view.
01:45And even if you have like a physical annual calendar,
01:48you tend to flip the pages.
01:49And so you never really see your entire year
01:51just laid out on a single page or two pages.
01:53So in January of this year,
01:54I decided I wanted to have a more digital way
01:56of having this kind of view in my life.
01:58And so I decided to just make a Google Sheet out of it.
02:01I think these days it's too easy to default to fancy apps
02:04and like, oh, what's the latest thing here?
02:05But I thought, you know what?
02:06A spreadsheet just does the job totally fine.
02:08And so I literally just went through on Google Sheets
02:10and I created one of these year at a glance templates.
02:13And this is what the blank version of this looks like.
02:15So as you can see, we've got the months down the top,
02:18we have color coded the months in like pretty colors,
02:20and we've got the weekends color coded as well.
02:22And this is the template that you can download.
02:23Just hit the link in the video description.

02:25and you can duplicate this into your own Google Sheet account
02:28if you would really like to.
02:29And this is what my version of this actually looks like.
02:31And I use this in two specific ways to manage my time.
02:33Firstly, it's really helpful for zooming out
02:35and getting a bird's eye view of my entire year
02:38so I can use it to plan my life.
02:39I'm filming this video, for example, in April,
02:41but I already know that this is the stuff
02:42that's kind of going on in May.
02:43And in June, I'm going to Austin for a bit.
02:46And then I've got this block of time
02:47to go on an adventure with some friends.
02:49And then I'm going on a retreat to LA later in June.
02:51And this is so helpful to get an idea of A, where things are
02:54and B, it then allows me to plan things
02:55like weekend group trips with friends
02:57or being able to plan holidays in advance
02:59so I can block out the time.
03:00I then reflect those changes in my actual Google Calendar
03:03so the team knows exactly what's going on in my life.
03:05And I found this to be a ridiculously effective way
03:06of managing my time on a macro scale.
03:08And to make this easier to deal with,
03:09what you can do is when the months are gone,
03:12you can just right click, you can hide those columns.
03:14And now it's just way easier to see exactly
03:16what's going on in a given month
03:17and then what's going on for the rest of the year.
03:19So that's how I manage my time
03:20on the level of the whole year.
03:21Let's now move on to the level of a single week.
03:24But I've got to go somewhere right now, be right back.
03:26Good morning, it's a new day.
03:27And we are talking about component number two
03:29which is all about ideal week planning.
03:31Now here's the context behind this.
03:32So essentially we all have these goals and plans and stuff
03:35that we wanna get done.
03:36Now, please don't cancel me for saying this
03:38but there are literally just 24 hours in a day
03:40and we all have to decide how we're gonna make
03:42the most use of that time.
03:43If for example, you have three personal assistants
03:45and five private chefs and stuff,
03:47then obviously you will have more of those 24 hours
03:49that are free to do things that you want to do
03:51rather than do things like laundry and cooking
03:52and cleaning and stuff.
03:54But fundamentally those 24 hours or 168 hours a week
03:57are basically the same for everyone.
03:58And assuming you're sleeping for eight hours every night,
04:00we all basically have 112 hours in a given week
04:03that we can play with.
04:04And the point of component number two
04:05is that we wanna define the ideal week,
04:07i.e. our absolute ideal allocation of those 112 hours
04:11per week.
04:12And this is a method I've been using
04:13for the last eight months or so
04:14ever since I started working with my CEO coach,
04:16Eric Pateko.
04:17And Eric has worked with a couple of hundred CEOs
04:19of really high growth companies
04:21and me.
04:22And this is one of the methods
04:23that he asks all of his clients to do.
04:24And apparently it's a method that always gets some results
04:26and it's certainly gotten me a lot of results
04:28over the last eight months.
04:28And so instead of you having to pay several thousand dollars
04:31an hour for Eric's time,
04:32I'm just gonna teach you the method straight up.
04:34And it's actually fairly straightforward to do.
04:35All it involves is going on Google Calendar
04:38and it involves creating a new calendar
04:39so that you've got a completely fresh slate
04:41where you can do your ideal week plan.
04:43Cool, so I've now created Ali's ideal week
04:44and now you can see it's shown up
04:45in my Google Calendar right here
04:47and this is completely free.
04:48Everyone can use Google Calendar.
04:49You don't have to pay a penny ever at all.
04:52Now at the moment, my life is a little bit of a mess
04:53because of the YouTuber Academy happening
04:55and because of all the book stuff going on
04:57and all the meetings with the editors and agents
04:59and all of that fun stuff.
05:00And so what can often happen
05:01is that I actually don't have that ideal lunch hour
05:04in which I'd like to cook a healthy lunch.
05:05And so instead, a product that I've been finding
05:07a lot of use of is in fact Huel

06:33And the point here is that basically I wanna define
06:35what are the containers of time
06:37where in an absolutely ideal week,
06:39not necessarily a perfect week,
06:40but in an ideal ordinary week,
06:42how would I choose to be spending my time?
06:44So for example, I've decided that like in my ideal week,
06:47Monday through to Friday,
06:48I'd like to wake up at seven o'clock
06:49and then I'd like to have the first hour of the day
06:51for my morning routine.
06:52And this is a thing I'd like to happen every day
06:53and so I'm gonna repeat this daily
06:55and I'm gonna give it this yellow color
06:56because that like signifies the sunrise
06:58or something like that.
06:58And you know what?
06:59Why not add an emoji to it
07:00just to make this a bit more fun?
07:01So we can see that this has now shown up
07:03across my ideal week.
07:04And because I wanna get my eight hours of sleep,
07:05I wanna aim to be asleep by 11 p.m.
07:07And therefore I wanna be starting
07:08to get ready for bed around 10,
07:10doing my reading, nighttime routine, all that fun stuff.
07:12And I'm gonna repeat this every single day
07:14and I'm gonna give this a lavender color
07:15to signify nighttime.
07:16Fantastic, so we now have a block for waking up
07:18and we have a block for sleeping.
07:19And now I can figure out
07:20what I want my ideal ordinary week to look like
07:22in the rest of the time.
07:23I've decided that in my dream world
07:24from eight till nine every morning,
07:26I'd like to do breakfast and journaling.
07:27And in that block,
07:28I could maybe have a breakfast meeting with someone
07:30or maybe go for a walk.
07:31And then I want my actual quote workday
07:32to start at 9 a.m. every day.
07:34And so based on my own energy levels,
07:36how would I like my ideal workday to go?
07:38Now, obviously this is gonna vary a bit
07:39depending on how much control you have
07:41over your own schedule.
07:42For example, when I worked as a doctor,
07:43I just had my entire block being like nine to five workday
07:46or whatever the shift was.
07:47And then I would just have to do
07:48whatever just happened on the day.
07:50I couldn't quite decide.
07:51You know what?
07:52These are my four hours of deep work time.
07:53But as an entrepreneur,
07:54I can decide how I spend my time.
07:56And actually increasingly in jobs,
07:57especially in knowledge work,
07:58you actually do have the ability
08:00to talk to your boss or your manager and say,
08:01hey, this is how I work best.
08:04I would love it if we can kind of find a way
08:05to fit my calendar around this.
08:07And then obviously based on the needs of the business
08:09and of the team or whatever,
08:10things will have to adjust accordingly.
08:12And so I've added in the blocks
08:13for the weekly team meeting,
08:14weekly team lunch, weekly content squad meeting,
08:17and my two meetings a week with Angus,
08:18who's my general manager.
08:19And I've added in the blocks
08:20for when I wanna have lunch roughly
08:22and the blocks for when I wanna have dinner on weekdays.
08:24And this is already very helpful
08:25because now I can see what is the other time
08:27that I have to play with.
08:28And then I can adapt this ideal ordinary week
08:30based on how I'd actually wanna spend that time.
08:32And so Tuesdays to Fridays, for example,
08:33I wanna have several hours in the morning
08:35as a deep work block for writing.
08:37And in my ideal week, I'd like to do a gym session
08:39Tuesday afternoon, Thursday afternoon,
08:41and maybe Saturday morning
08:42if I happen to be free on the Saturday morning.
08:44Now, the other main thing I need to do in my workday
08:45is filming.
08:46And so I'm gonna put in my various filming blocks
08:48into the calendar.
08:49And obviously this workday schedule
08:50is very specific for me
08:51because basically all I have to do in my job
08:53is writing and filming.
08:54But if your job is a little bit different than that,
08:56then maybe you might have a block for checking Slack
08:58or checking emails.
08:59And you might do that once or twice a day
09:01so that you're batching those interruptible activities
09:04and you're not just spending your entire day
09:05being like derailed by all the various emails
09:07coming your way.
09:08Alternatively, maybe you have more meetings than I do
09:09and therefore you have more meetings in the calendar
09:11at all the different blocks.
09:12The point is mold this to whatever works for you.
09:14But the point is we wanna create these containers
09:16within our ideal week,
09:17where in an ideal ordinary week,
09:19we would be intentionally using our time in this way.
09:22And what you can base these containers on
09:23is firstly, what are the constraints of your job?
09:25But also how are your own energy levels?
09:27Like if you're managing your own energy,
09:29do you do your best creative work in the morning
09:31or in the evening?
09:32Do you have a slump after lunch?
09:33And therefore maybe you wanna take calls then
09:35rather than do particularly deep work.
09:37And the great thing about this and what I do
09:38is that I also intentionally schedule in
09:40the personal life and relationship stuff
09:42that I wanna put into my ideal week.
09:43So for example, in my case,
09:44ideally every Thursday evening is date night.
09:47So I know that I have that fully scheduled in the calendar
09:49and now the rest of my life can fit around that.
09:51And then on Monday evenings as well,
09:53I'd like to go to a kickboxing class
09:54and have a mini date night as well.
09:55In my ideal week, Tuesday evenings would for example,
09:58be a social dinner with friends
10:00because I'm trying to learn how to cook
10:01and I like having friends over.
10:02And so I've decided to just by default,
10:04every Tuesday evening is gonna be free
10:05so that I've got an easy slot
10:07where if a friend is visiting London
10:09or if I wanna invite people over,
10:10just by default, I don't have to think too hard about it,
10:12it's a Tuesday evening
10:13and conveniently the cleaner rocks up on a Wednesday
10:15and so I can leave the kitchen in a mess
10:16and then the cleaner will sort it out.
10:18That's fantastic stuff.
10:19I might decide on Wednesday evenings by default,
10:20I'd like to drive home to have dinner
10:22with my mom and grandma.
10:23And I might decide to leave weekends completely free
10:25for friends and family
10:26and other things in life that are happening.
10:27Now having this laid out in front of me
10:29is incredibly useful
10:30and this is in fact the system
10:31that I follow basically every week.
10:33And then obviously there's other stuff
10:34that kind of derails this sometimes.
10:35Sometimes there's an urgent meeting
10:37that can't be missed
10:38or sometimes I have to go pick up my mom from the airport
10:39and then a filming block gets derailed.
10:41But the point is I have defined the parameters
10:43of my ideal ordinary week
10:44and now I don't need to be fully wedded to them
10:46but at least I've actively decided
10:48that on average, on a Wednesday morning,
10:49I'd like to be doing a deep work block of writing
10:51because that's the main thing
10:53that moves my business forward
10:54and it makes sense to do that in the morning
10:55while I have more creative energy.
10:56Similarly, the fact that I've basically decided
10:58that Mondays and Thursdays are gonna be date night,
11:00that then means that those evenings are sacred
11:02and like if someone says,
11:02hey, do you wanna hang out
11:03and it's a Monday or Thursday night,
11:04then my default option is no, sorry,
11:06I can't make it, can you do Tuesday instead
11:08or Friday instead?
11:09And if it's super, super urgent
11:10and it's like an internet friend visiting London
11:13and they're only here on a Monday,
11:14then I can say to my girlfriend,
11:15hey, do you mind if we switch date night
11:17to Tuesday or whatever that week?
11:18So the point is this kind of system
11:20allows a level of flexibility
11:21and I've found that over the last eight months of using it,
11:23it's just freed up so much headspace from my life
11:25having to think about these things
11:26because now at least I have a default structure
11:28that I can follow.
11:29The other cool thing about this
11:30is that it really shows genuinely where is the free time.
11:34Like I might decide, you know what,
11:35I'm really interested in the guitar,
11:36I wanna get better at the guitar
11:37and therefore I'd like to have one guitar lesson every week.
11:40Now, the question is,
11:41where am I gonna fit this one guitar lesson every week?
11:44I have these 112 hours that I can play with
11:46like everyone else does.
11:47And so I might decide, you know what,
11:48I'm gonna finish work a little bit earlier on a Wednesday
11:50to have my guitar lesson,
11:51but I can do that because I'm an entrepreneur
11:53and I control my own time.
11:54But if this is what my calendar looked like
11:55and I was only getting home from my actual job
11:57at like 6.30 every day
11:58and I knew that I wanted to have a social evening
12:00with friends once a week,
12:01go home for dinner with my parents once a week
12:03and have date night twice a week,
12:05I actually don't have that much time to play with
12:07to fit in a guitar lesson.
12:08And that means I don't need to beat myself up about it.
12:10I might think, you know what,
12:11at some point in my life
12:12when I have more free time on the calendar,
12:13I will fit in that guitar lesson,
12:15but it's just not a priority right now.
12:16And what I love about this ideal ordinary week exercise
12:18is that it forces us to decide
12:20what are the priorities in our life.
12:22It means we can't say, oh, I don't have the time.
12:24We can instead say, I'm choosing not to make the time.
12:27I'm currently choosing not to make the time in my life
12:29for guitar lessons or singing lessons.
12:31And I'm currently choosing in my life
12:32to only go to the gym two or three times a week
12:35because I've decided that that's what the priority is.
12:36In the future, maybe once my book is done
12:37and I have fewer writing blocks,
12:39or maybe I decide, you know what,
12:40I wanna take a break from filming four times a week
12:42for a month and see what happens.
12:43I'll free up more time.
12:44But the point is I now know how much time
12:46I have to play with.
12:47But until I did this exercise eight months ago,
12:49A, I would not have known that.
12:50And I was kind of taking on too many responsibilities
12:52and too much stuff and then feeling overwhelmed.
12:54And B, on a given day,
12:55I didn't really have a default list of things
12:57that I wanted to do.
12:58And so I'd have to think every single day,
13:00I was like, okay, how do I wanna spend my time today?
13:02And that's just quite a lot of thinking.
13:03Now, this is how this actually translates
13:05to what my ideal week looks like in real life.
13:07So right now we're in the midst
13:08of our part-time YouTuber Academy.
13:09So Mondays are literally taken up entirely
13:11from with PTYA stuff,
13:13except an exercise block in the morning.
13:14Tuesday morning, Wednesday morning,
13:16Friday morning, Saturday morning,
13:17and Thursday afternoons are all book time
13:19because I'm in the final stages of my book.
13:20And so I need to make the blocks for that.
13:22I have various meetings in the calendar.
13:23So we've moved our team meetings to Tuesday.
13:25So we've got our team meeting
13:26and our content meeting on a Tuesday afternoon.
13:28We're doing a team training thing with our coach Eric.
13:30And so that happens on Wednesday afternoon.
13:31And this week I've had various lunches
13:34with various team members
13:34because I like to have a one-on-one lunch
13:35with every member of the team
13:36once every couple of months or so.
13:38Similarly, this week I did a podcast
13:39with my internet friend Cy Hill Bloom.
13:40So that happened on a Tuesday
13:42and then we went out to a restaurant.
13:43So you can kind of see how this calendar evolves over time
13:47and it evolves depending on what's happening
13:48in a given week.
13:49But this week I've broadly stuck to the calendar.
13:51I've done book time when I intended to.
13:53Currently I'm in a filming block,
13:54which is why I'm filming this video.
13:55And then later today,
13:56I've got book time for the rest of the afternoon
13:57so I can focus on making those final edits.
14:00And it's just so liberating to have this kind of system.

14:27All right, the final component of the Trident method
14:29is what we do on a given day.
14:31So we've talked about annual planning
14:33and what our annual life plan year at a glance looks like.
14:36And we've talked about at the level of the ideal week,
14:38how we're trying to make the most of these 112 hours
14:41in the week that we have to play with
14:42and how we can use them more intentionally.
14:43And so now the third component of the Trident method
14:45is what we're doing on a given day.
14:47And so the way I manage my time on a given day
14:48is broadly I follow what is in the calendar.
14:51And again, having the calendar just makes it so easy.
14:53It is a Thursday right now,
14:54and I just literally follow
14:55whatever blocks I've put in my calendar.
14:57And generally on the weekend before,
14:58I will look forward at my calendar for the upcoming week
15:01and I will create blocks of time
15:02for the things that I wanna do.
15:03And so for example,
15:04let's say I'm looking over to next week,
15:05I've already got a lot of this stuff penciled in
15:07because it's recurring events or it's ideal week stuff.
15:09And because I know that basically every morning
15:11I wanna do book stuff and every afternoon
15:12I wanna do kind of filming stuff
15:14and I wanna go to the gym two or three times,
15:15I just need to add in those blocks.
15:17And normally I'd have those in as like repeated blocks
15:19that's just in every week,
15:20but right now things are very derailed
15:21thanks to the YouTuber Academy.
15:22And so I'm kind of going week by week,
15:24but keeping in mind,
15:25what does my ideal week actually look like?
15:27So for example,
15:27right now 7 a.m. Badminton is not happening,
15:29so let's decline this one.
15:31Let's create a book time block on Wednesday morning.
15:36Let's create a book time block on Friday morning.
15:39This app is Fantastical by the way,
15:40it's just a fancy calendar version of Google Calendar.
15:43The nice thing is you can duplicate events,
15:45so it makes it super easy to like literally hit Alt
15:47and then drag.
15:48And now I can just duplicate an event
15:50rather than having to recreate it
15:51like I would in Google Calendar.
15:53Let's put in my filming blocks.
15:55And now this is currently a bit of a problem
15:56because I don't have enough time for exercise here,
15:58so I'm gonna have to create some exercise blocks.
15:59But then genuinely on the level of day planning,
16:01let's say it was Monday,
16:02I would literally just follow whatever I have planned.
16:04So I know for example,
16:05at eight o'clock I'm gonna be doing my content planning
16:07for the session of the Part-Time YouTuber Academy.
16:09I've got my call with the exec students at nine
16:11and then another one at five.
16:12I've got more PTYA prep happening from 10 till 12.
16:15I have a YouTuber's mastermind that I'm part of.
16:17I have the two hour keynote that I deliver on a Monday.
16:19And then I'm going for Iftar and dinner
16:20at a friend's house that evening.
16:21And so on one level,
16:22that's just what I do on a given day.
16:23I just follow whatever's in the calendar.
16:25But there's another thing that I do.
16:26And again, this is one of those things
16:27that I've started doing for the last eight months
16:29ever since starting working with Eric.
16:31And it's basically defining three daily quests.
16:33Daily quests, I mean, he calls it daily number ones
16:35or whatever.
16:36I call it daily quests
16:37because it's terminology from World of Warcraft.
16:39And basically the idea is that
16:40in the three most important domains of life,
16:42I have three quests that I'm doing every day.
16:45And that's in work, in health and in relationships.
16:47And we've actually recently started a Slack group
16:49where we do this with the whole team
16:50so that we've got some level of accountability on this.
16:52And so for example,
16:53my health daily quest is to go to the gym
16:56after my book squad call.
16:58And then I make sure it's scheduled on the calendar.
16:59So I already have my exercise blocks
17:01scheduled on the calendar
17:02after my call with the book team.
17:03My work daily quest is I wanna film stuff,
17:05which is literally what I'm doing right now.
17:06And that's already in the calendar.
17:07And then my relationship thing
17:08is that I wanna call my grandma.
17:10And calling my grandma is not yet in the calendar.
17:12And so I'm literally just gonna add it in here as a task.
17:15Call Nani.
17:16And that will show up in my calendar.
17:18And now I know that that's gonna get done
17:19because I look at my calendar multiple times a day
17:21because my calendar tells me literally what I'm doing.
17:23In fact, you know what?
17:23I'm gonna be a good grandson
17:24and I'm gonna call my grandma
17:25straight after filming this video.
17:26And I can literally drag that task
17:28straight onto the calendar.
17:29And it's very convenient
17:30because it overlaps with the events.
17:31And it means that I, again,
17:32ensure that the things that I actually want to do
17:35are in the calendar.
17:36Now this method of just literally running your life
17:38based on a calendar is completely game changing.
17:40I've been doing it in various forms for the last 10 years.
17:43And before I started literally living my life
17:45based on my calendar,
17:46I was so disorganized, I was so chaotic.
17:48But now that I live my life based on my calendar
17:50and on the level of annual,
17:51on the level of weekly and monthly,
17:53and on the level of daily,
17:54I just follow the intention I've already set.
17:56That's been one of the main drivers of my productivity
17:58for the last 10 years.
17:59And specifically this Trident method thing
18:01that I've been doing for the last eight months
18:02since working with Eric in terms of the annual thing,
18:04the weekly thing, and the daily thing
18:06has been hugely helpful in moving me forward.
18:08And even though I'm, I think at this point,
18:09one of the most followed productivity experts in the world,
18:12like these three strategies
18:14are just have just been genuinely game changing
18:16in terms of helping me make the most of my time
18:18and helping me boost my time management skills.
18:20Because as we've already talked about,
18:21time is the most valuable resource that we have.
18:23We can always make more money,
18:25but we can never make more time.
18:26And if we can use our time more intentionally,
18:28again, it doesn't have to be about being more productive
18:30with every single hour.
18:31It's about just being more intentional with it.
18:33Intentionally calling my grandma,
18:34intentionally making the time for date night
18:36or for having dinner with my mom.
18:37And the more I find that I define these containers
18:39and then actually follow them,
18:40the more I find that like life is balanced
18:42and fulfilled and meaningful and I'm happy.
18:44And then it's like, I don't have to stress about things
18:45because I know that the important things are getting done
18:47because fundamentally they are on the calendar.
